ITIL (Information Technology Infrastructure Library) is a framework that helps organizations manage their IT services in a structured and efficient way. One important aspect of ITIL is IT budgeting, which involves planning and managing the financial resources needed to support IT services.

IT Budgeting is a critical process for any organization that relies on technology to support its operations.

Use the process template as it is or adjust and extend to your individual needs.

The Financial Manager plays a key role in preparing for the IT budget and ensuring that the organization's technology needs are met while staying within budget constraints.

  • One of the first steps in Preparing for the IT Budget is to Plan for revenue. This involves forecasting expected income and determining how much of that income can be allocated to the IT department. The financial manager should also consider any changes in revenue sources that may impact the IT budget.
  • Next, the financial manager should plan for personnel costs, including salaries, benefits, and any other expenses related to staffing the IT department. Training costs for IT staff should also be included in this planning process.
  • The financial manager should also plan for any investments that are necessary to support the organization's technology needs. This may include the purchase of new hardware or software, or upgrades to existing systems.
  • Once all of the necessary information has been gathered and the IT budget has been planned, the financial manager should consolidate the draft IT budget and present it to the IT Manager for review. The IT Manager will check it for internal approval then communicate the draft of the IT budget to the IT Controller.
  • The IT Controller checks the IT Budget and integrates into the overall budget and communicate it to the relevant stakeholders.
  • Finally, the IT Budget is approved by the appropriate parties, and the organization can begin implementing the planned technology projects and initiatives.

It is important to keep in mind that IT budgeting is an ongoing process, and the budget should be reviewed and updated regularly to ensure that the organization's technology needs are being met.
